Job Description

Our client, a luxury retail and fit out company in Dubai, is recruiting a Support Services Director.

Reporting to the CEO, the role of the Support Services Director is planning, developing and implementing policies and procedures, programs and practices across all functions, and in direct charge of support services such as Accounting (and Finance), Warehousing and Supply chain, Admin, Legal, Insurance, IT and ERP. He/she provides counsel and assistance to other heads of functions, operating divisions and develops the support to the organizational needs to achieve customer satisfaction and to reach the company’s goals and objectives.



Key Responsibilities



»  Oversee implementation and proper application of operational activities, business transactions, and related policies and procedures

»  Monitor and manage legal agreements, vehicle and trade license issuance and renewals, insurance (all types), visa’s and residencies, permits, and ensure payments/collections are executed on time

»  Manage vehicle and telephone allocation, allowance, maintenance and expense

»  Liaise with authorities, insurance companies, landlords, and other service providers

»  Manage processes to ensure safety, security, maintenance, and housekeeping of properties, facilities and all functional areas

»  Ensure the efficient maintenance and repair of machinery, equipment, and electrical and mechanical systems

»  Plan and control budgets for service contracts, equipment and supplies.

»  Apply and help implement and develop HR policies and procedures within the Company (Man-power planning, Recruitment and retention, Talent identification, Compensation and Benefits, Training and development, Succession planning, Performance appraisals…)

»  Oversee the payroll process.



Accounting and Finance

»  Develop and ensure implementation of goals, priorities, policies and procedures relating to accounting, inventory control, financial management, budget, and payroll

»  Direct the maintenance of general and subsidiary ledgers, accounts receivable & payable, depreciation, accruals, property, operating expenses, and insurance records

»  Ensure timely execution of receivables and payables and that payment terms and conditions are controlled

»  Manage and control bank guarantees

»  Supervise and participate in the preparation of various financial statements and reports

»  Lead the budget development and the forecast updates

»  Provide vision and leadership in long- range fiscal planning to ensure the continuity and financial health of the company

»  Liaise with external auditor and lead the audit process

»  Manage the company’s resources within budget guidelines

»  Provide prompt, thorough, and accurate information to keep Management appropriately informed of the company’s financial position and cash Management

»  Establish system controls for new financial systems and develop procedures to improve existing systems    

»  Manage the ERP in regard to security, access rights, functional modules, backup, and reports

»  Responsible for providing vision and leadership for developing and implementing information technology initiatives

»  Use IT initiatives to improve efficiency, cost effectiveness, service quality and support business development

»  Lead IT strategic and operational planning to achieve business goals by fostering innovation, prioritizing IT initiatives, and coordinating the evaluation, deployment, and management of current and future IT systems across the Company

»  Control the information technology annual operating and capital budgets.

»  Overall management of the CRM platform.


Procurement and Supply Chain

»  Ensure accurate application of pricing and costing strategy

»  Ensure price validation rules are well executed and controlled as per management’s strategy

»  Monitor the procurement process and ensure timely execution

»  Ensure efficiency and precision of order and contract execution process from order confirmation to delivery

»  Ensure OC department coordinates with Installation and After Sales team for delivery / installation schedule.


Warehousing and Delivery

»  Safeguard proper and efficient warehousing facilities and delivery operation

»  Develop and maintain proper processes for stock movements and stock control

»  Monitor and optimise space utilization, logistics future requirements and recommend alternatives.

»  Manage the delivery teams and 3rd party service providers and subcontractors and ensure proper project planning and execution

»  Control installation project’s budget and ensure project is delivered as per budget in relation to materials

»  Control all payment claims, snags, variation requests, and any other relevant after sales matters.

»  Double – Sign off subcontracting companies to fulfill installation schedules.





»  A university degree in Business Administration.  MBA is a plus

»  A leader with at least 10 years experience in Support Services Management and/or Operations Management

»  ‪Hand-on experience in the support services areas as well as project management

»  Capability of financial planning and budgeting

»  Capability of developing and implementing business processes

»  Experience in ERP implementation is a plus

»  Strong influencing skills, capable of engaging effectively with operational stakeholders

»  Excellent analytical thinking, problem solving, communication, and concern for quality skills.
